The Okanagan in summer is one of the most popular destinations in Canada, and it has a transportation problem that catches almost every group off guard.
The wineries are spread across 50 kilometres of valley. The lake is in one direction, the vineyards are in another, the breweries are scattered through Kelowna's industrial corridors, and the resort properties that host most weddings and corporate retreats are 20 minutes outside the city.
Everyone wants to drink wine and nobody wants to drive. Renting multiple cars sounds reasonable until you add up the cost, the parking fees on a Saturday in July, and the reality that at least two people in every group end up stuck being responsible drivers all day.
A private charter solves all of it. Here is how it actually works in the Okanagan.
What Groups Are Actually Doing in Kelowna
The Okanagan attracts a specific mix of visitors in summer, and each type has different transportation needs.
Wine touring groups. This is the core Okanagan experience and the most common reason groups book private transportation. The wine route from South Kelowna up through Lake Country covers dozens of estate wineries within a 30-minute drive. Doing three or four properly in a day, with actual time at each property rather than rushing to get back on the road, requires a vehicle and driver. Our Okanagan winery tours handle the full day from pickup to drop-off, with guided stops at the region's top estates.
Bachelorette and birthday groups. Kelowna runs a close second to Vancouver for bachelorette weekends in BC. The combination of wine country, a proper beach, good restaurants, and reasonable flight connections from Calgary, Vancouver, and Edmonton makes it a natural destination for groups flying in from different cities. For groups arriving at YLW at different times, a staged shuttle from the airport to the Airbnb or hotel is usually the first booking. The winery day follows.
Corporate retreats. Kelowna and Vernon are both active corporate retreat markets, particularly for Vancouver and Calgary-based companies who want to get their teams out of the office without flying somewhere expensive. Predator Ridge, Sparkling Hill Resort, and Manteo Resort all host multi-day retreats. Groups need airport transfers, inter-venue shuttles between accommodation and dinner venues, and usually at least one activity day that involves a winery or brewery.
Wedding groups. The Okanagan has become one of Canada's most popular destination wedding regions. Vineyard weddings at properties like Summerhill Pyramid Winery, Ex Nihilo Vineyards, and Tantalus Vineyards draw guests from across the country, many of whom are flying into YLW and need ground transportation for the weekend. Our Okanagan Event and Wedding Shuttle covers airport arrivals, hotel loops, and the ceremony-to-reception run as a single booking.
The Okanagan Driving Problem
The geography of the Okanagan Valley looks manageable on a map until you actually try to move a group through it on a summer weekend.Highway 97 is the main artery through the valley, and in July it moves slowly. The stretch between Peachland and Vernon carries significant tourist traffic, and the roads leading into winery properties are often single-lane and not designed for groups arriving in multiple cars. Parking at popular estates like Mission Hill, Quails' Gate, and CedarCreek is shared with the entire visiting public on a Saturday afternoon.
More importantly, the Okanagan wine experience is genuinely difficult to enjoy as the designated driver. The tastings at each estate cover four to six wines minimum. A proper winery visit takes 45 minutes to an hour. Driving between three or four properties across an afternoon means the person behind the wheel is having a different day than everyone else in the group.
A chartered vehicle removes that dynamic entirely. Everyone tastes. Nobody navigates. The driver knows the properties, knows the roads, and knows how long each stop runs.
Kelowna vs. Vernon: Which Market Are You In?
Kelowna is the larger of the two markets and has the greater concentration of wineries, restaurants, beaches, and accommodation. Most groups flying into the Okanagan arrive at Kelowna International (YLW) and base themselves in the city or the Lake Country area north of town. The South Okanagan wine trail, the Naramata Bench, and the Lake Country circuit are all accessible from Kelowna as day trips.
Vernon sits at the north end of the valley, about 50 kilometres from Kelowna. It has its own wine character, access to Predator Ridge and Silver Star Mountain Resort, and a more relaxed pace than the busier Kelowna corridor. Groups staying in Vernon or at Predator Ridge for a corporate retreat often need transportation both within the Vernon area and for day trips south into the Kelowna wine corridor.
Both markets are covered by our Kelowna Charter Service and Vernon Charter Service. If your group is split between locations or moving between the two for different events, tell us at booking and we will coordinate the vehicle routing accordingly.
What to Tell Us When You Book
Okanagan bookings benefit from a bit more detail upfront than a standard city charter because the properties are spread across the valley and timing matters more.
How many people, and are there stragglers. Airport pickups often involve guests arriving on different flights. Tell us the flight windows and we will stage the pickup or coordinate multiple vehicles rather than leaving anyone waiting.
Where you are staying. Kelowna city, Lake Country, Predator Ridge, and Naramata are all different staging points that affect how we route the vehicle for the day.
What you want to do. Winery circuit, brewery afternoon, lake day with a dinner reservation in the evening, or a mix. The more detail you give, the better we can build the day around it.
Return timing. Evening restaurant reservations in the Okanagan are popular and fill up fast in summer. If your group has a dinner booking, build the transportation return around that time rather than the other way around.
Practical Details
Vehicle options: Ford Transit for groups up to 14, 20 to 24-passenger mini-coach for larger groups. Luggage for multi-day stays is handled on the mini-coach. For groups arriving with bikes or outdoor gear, confirm at booking.
Airport transfers: YLW is about 15 minutes from downtown Kelowna. We handle arrivals and departures with meet-and-greet pickup at the terminal. For groups arriving across multiple flights, staged pickups can be coordinated so no one is waiting more than 20 minutes.
Winery access: Some Okanagan winery properties require pre-booked tastings, particularly for larger groups. If you are booking a guided winery tour through us, the winery stops are pre-arranged and included. If you are booking a private charter and managing your own winery bookings, confirm your tasting reservations before the day.
July and August: The two busiest months in the Okanagan. Vehicles book out well in advance on weekends. If your dates are confirmed, sort the transportation early.
